Illustrative sample

Can this shipment’s material certificate be proved?

A certificate packet is trustworthy only when the supplier document can be connected to the material actually received, issued to the manufacturing job, and included in the shipment. This sample shows a complete evidence chain, then shows the point where an ambiguous record must block release instead of producing a confident-looking packet.

Sample outcome

Two shipments, two decisions

Shipment SHP-10932/L1
Ready for quality review
Shipment SHP-10947/L1
Blocked
Evidence chain
Seven links from certificate to shipment, each backed by a record
Release decision
A quality owner approves release; nothing is released automatically
Both cases use synthetic records from one fictional shop.

Synthetic data. Every company, identifier, document and result on this page is synthetic. It shows the approach for evaluating a certificate workflow. No proprietary ERP data or interface is reproduced.

The complete chain

One shipment, seven evidence-backed links

Northstar Precision Components, a fictional job shop, ships a cert-bearing line under a customer requirement that reads: “Include the original material certificate and a traceable heat-to-shipment record for every cert-bearing line.” Field names and export structures are illustrative, not native JobBOSS fields.

Result: the records support a review-ready packet. A quality owner still approves release. The workflow does not release or certify the shipment automatically.

Provenance

The answer remains tied to its source

An extracted or normalized field is never accepted on its own. The document, page and field that support it stay attached to the value.

The blocked case

A plausible certificate is not the same as a proven certificate

A second synthetic case. Certificate MTR-48309 identifies supplier heat H-9M13. Receipt RCV-10511/L1 created two internal lots after a split. Job J-24096 contains a material issue whose internal lot is missing, and shipment SHP-10947/L1 points to that job.

Blocked

Blocked: the shipment points to a completed job, but the material issue does not identify the internal lot consumed. The supplier certificate cannot be asserted for this shipment until an authorized reviewer resolves the lot relationship from a source record.

Allowed actions
  • Review the material-issue source
  • Resolve the lot with an authorized record
  • Record the reviewer and evidence
  • Regenerate the packet after the chain passes
Not accepted as a resolution: guessing, receipt proximity, matching the part number alone, or accepting the certificate because it looks plausible.
The handoff packet

What the completed handoff would contain

A static manifest of the review-ready packet. No PDF is generated on this page.

  1. Shipment and customer-requirement summary
  2. Receipt-to-lot-to-job-to-shipment lineage table
  3. Original supplier certificate
  4. Source-page references for material and heat fields
  5. Exceptions and reviewer resolutions
  6. Final reviewer name, timestamp and decision

The packet preserves both the source document and the record path used to include it. A missing or ambiguous path remains an exception; it is never converted into a successful match for presentation.

Scope

What this proves and does not prove

What the example demonstrates

  • the correct end-to-end lineage question;
  • a record-backed decision for each relationship;
  • explicit handling of missing and ambiguous links;
  • source-page evidence for normalized certificate fields;
  • a review boundary before packet release; and
  • a concrete output a shop can compare with its current process.

Outside this example

  • a live JobBOSS or JobBOSS² integration;
  • compatibility with a specific ERP edition, module or customer schema;
  • production OCR, supplier-document coverage or population accuracy;
  • authority to approve quality records; or
  • handling eligibility for restricted manufacturing data.
